How to use this page
- The banner at the top lists anything that needs you. Green means nothing does.
- Tiles show today's warm-up emails, inbox placement over 7 days (keep it at 90% or more), emails rescued from spam, and replies waiting to go out.
- Charts show daily volume, and placement against the 90% safe line and the auto-pause line. Hover over a bar or point for the numbers.
- Inboxes today shows each inbox's warm-up day, today's sends against its target, and placement.
- Domain authentication shows SPF, DKIM and DMARC for each sending domain.

Sending is blocked for a domain until SPF, DKIM and DMARC are all found. That's the most common way a new domain gets burned.
How to use this page
- Create an app password for each inbox. The setup checklist on Overview has the steps and links.
- Press Add several and paste one line per inbox:
email, app password, name. - Press Test login on each inbox. Both sending and reading should pass.
- Optional: add one or two seeds at other providers.
Senders warm up on the ramp. Seeds are inboxes at other providers (a personal Gmail or Outlook). They only receive and reply, which shows how other providers treat your mail.
How to run a campaign
- Press New campaign. Start from the PitchPersona sequence or your own template.
- Open it and add leads under Add leads: a CSV, a pasted list, or PitchPersona's Custom webhook.
- Check the emails under Sequence and press Preview with a lead.
- Under Schedule & inboxes, pick the sending inboxes, hours and daily limit.
- Press Send a test, read it in your own inbox, then press Start sending.
The "Which inboxes can send campaigns" box shows which inboxes have earned it. The others keep warming up and join once they qualify.
Cold email campaigns. An inbox sends campaigns only after its warm-up has earned it (enough warm-up days and healthy placement). Warm-up keeps running alongside.
How to use this campaign
- Leads: everyone in this campaign. Tap a status to filter, tap a row to see their emails and replies.
- Sequence: the emails in order, with the days to wait between them.
- Schedule & inboxes: which inboxes send, when, how many a day, plus review and tracking rules.
- Add leads: a CSV, a pasted list, or the PitchPersona webhook link.
Sent and replies per day
Use variables like {{first_name}} or give a fallback with {{first_name|there}}. A lead with an unfilled variable is held back instead of getting a broken email. Click a variable to insert it.
From PitchPersona (optional)
PitchPersona's Custom webhook export can send prospects and their written sequence straight here, with no change to PitchPersona. In PitchPersona, open Settings and paste this as the webhook URL, then push prospects with Webhook.
From a CSV
Needs an email column. Other columns (first_name, company, or anything else) become variables. PitchPersona CSV exports work as they are.

How to use this page
- Recent emails lists every warm-up email. Pick an inbox to see only its mail, and tap one to read it.
- The tag shows where it landed: Inbox, Spam, rescued, or not checked yet. Arrival is checked on the next cycle.
- Event log records everything the mailer did. Read the errors and warnings.

How to use this page
- The defaults are safe for new domains. Most people only set the time zone, working hours and the OpenRouter key.
- Every number has a hard limit, so a typo can't flood a new domain.
- Press Save settings at the bottom. Changes apply from the next cycle.

What the colours mean
Your daily two-minute check
- Open Overview. The top banner should be green.
- Inbox placement should stay at 90% or more. A few days below that is the moment to slow down, not speed up.
- Open Replies once campaigns run, and answer real people there or in Gmail.
- If an inbox paused itself, read the reason on the inbox before pressing Resume.
What it does every few minutes
- Reads every inbox and finds warm-up emails. Any it finds in spam are moved back to the inbox, and every one is marked read and important. Some get starred.
- Replies to some of them after a random, human-looking delay, so conversations form threads.
- Sends a few new plain-text emails between your inboxes, spread across working hours, following the ramp.
What protects your domains
- The engine starts paused. Nothing is sent until you press Start.
- DNS gate: a domain sends only when SPF, DKIM and DMARC are all found.
- Hard limits: no more than 50 emails per sender per day, and the ramp adds no more than 5 per day.
- Slowdown: when a sender's inbox placement over the last 3 days falls below the slowdown line, its volume halves.
- Auto-pause: an inbox pauses if placement falls below the auto-pause line, if the provider refuses a send (spam, rate limit, blocked), or if 3 sends fail in a row.
- Clean content: plain text only, with no links, images or tracking. Links are stripped even when the AI writes one.
- Working hours only, with lower volume on weekends.
Campaigns
- An inbox joins a campaign only after its warm-up has earned it. By default that's 14 days and 90% placement, and it never sends more than the cold cap a day.
- Emails go out one at a time inside the campaign's hours, with a random gap between them. Follow-ups reply in the same thread.
- A reply stops that person's sequence and keeps them out of every other campaign. Bounces, unsubscribes and "remove me" replies go on the do-not-email list.
- An inbox pauses itself if more than 5% of its recent campaign emails bounce.
- A lead with an unfilled variable is held back, so nobody gets "Hi {{first_name}}".
When to start cold email
Start cold email from an inbox only after about 14 days, and only once its placement has held at 90% or more for 7 days. Begin at 10 to 15 cold emails per inbox per day and keep the warm-up running alongside. Never send cold email from these warm-up inboxes faster than the ramp they've built.
